Kofax TotalAgility (KTA)
Section 1: Logging In
Login to Kofax TotalAgility
- Open Internet Explorer (IE) or Microsoft Edge Browser (The behavior is the same in both the browsers)
- Type http://rsp-fnkta01.cospub.saccounty.net/TotalAgility/Forms/ in the Address Bar.
- This will take you to the KTA Home Page:
Section 2: Scan Document
The KTA scan client is a web-based application that creates new jobs and scans sheets into jobs in a workflow process such as Accounts Payable.
You can rearrange pages in a document, split documents, delete documents, and place documents within folders.
Step 1 – Click on the Capture Process
Step 2 – Select the Process (Batch Class) from the Capture Process Menu
Step 3 – Select the Process Name (ex. - Accounts Payable)
This will open a new page:
Step 4 – Check Your Scanner Settings for the first time.
This step does not need to be repeated once your scanner settings are set correctly.
Click OK.
Step 5 – Click on the scan/import icon to start scanning pages.
Please select the “Document Type” in the navigator window.
Step 6 – Once all pages are scanned, click on the “Create Job” icon
Failure to click the Create Job button results in NO pages sent to KTA, even if you see thumbnails in the scan client.
The same screen will refresh without any documents after you click on create job.
Step 7 – Now Click on the Home Icon
It will prompt be following screen.
Click on “Leave this page”
Section 3: My Work Queue
Use the Home Icon to reach your Personal Work Queue Page to see Messages and your own Individual Assignments.
My Work Queue
The My Work Queue shows information for the current pending documents for user to see.
Note – If you don’t see any scanned documents, please wait for 2-3 minutes or you can click on the refresh icon.
Section 4: Validate
KTA Validate confirms or creates the contents of document index fields. With this activity, you can perform such tasks as rejecting documents, correcting OCR errors or forcing all the fields in a document to be valid.
Step 1 – Select Document
Select the single document from the “My Work Queue” and click on “Validate” link.
Step 2 – Validate Document
This will open a new web page with the Index fields.
Validating Document Options
Type in a value OR click the reference Number in the image on the right
OR
Simply hit ENTER to confirm that NO reference number applies to this document.
- Click these icons to delete or reject pages.
- Use this toolbar to zoom in and out or rotate the image.
- Click the question icon for HELP using KTA Validate.
- Thumbnails
- Scanned pages appear as thumbnail images here.
- Right Click on any thumbnail image for a menu of choices such as Delete, Replace, Rotate, etc. or use Drag-and-Drop to reorder pages… if necessary.
Final Step -Complete Validation
When all documents are validated, click on “Complete Activity” to send all documents in the job to the Export Queue and the EDM system.
It will prompt another message box for ”Complete Activity”
Click “Yes” if you want to complete this document and want it to send to “EDM”.
After OK, you will see the “My Work Queue” screen again to process any remaining documents.
Section 5: EDM
To view the exported or the current completed document. Please follow the EDM instructions as you are using currently.
